Privacy Policy for Captioner

This Privacy Policy explains how Botisan AI Pte. Ltd. ("Botisan AI," "we," "us," or "our") collects, uses, and shares information when you use Captioner, including captioner.io, the Captioner Android application, and related services (collectively, the "Services").

If you do not agree with this Policy, do not use the Services. Questions and privacy requests can be sent to support@captioner.io.

1. INFORMATION WE COLLECT

The information we collect depends on the Captioner features you use.

Information you provide

  • Account and contact information. If you create or sign in to a web account, we may receive your name, email address, profile image, and authentication-provider identifiers. We also receive information you send to customer support.
  • Anonymous app identity. The Android app creates a device-scoped anonymous user identifier so it can authenticate requests and apply usage limits. This identity includes an internally generated placeholder email address; it is not an email address supplied by you.
  • Media and project content. We receive videos, audio, files, media links, captions, corrections, glossary terms, prompts, and other text you submit. We generate and store transcripts, translations, subtitles, summaries, thumbnails, and other project output.
  • Payment information. Stripe receives payment-card and billing details for purchases made on our website. We receive transaction, customer, subscription, and entitlement information, but not your complete payment-card number.

Information collected automatically

  • Device and network information, such as IP address, approximate location inferred from IP, browser or app version, operating system, language, device model, application identifiers, Android advertising ID or app set ID where available, and similar identifiers.
  • Usage information, such as app launches, screens and features used, taps, video views, ad interactions, referring pages, and media URLs you ask Captioner to process. Google Play classifies some submitted URLs as web browsing history.
  • Diagnostics, such as timestamps, request and job identifiers, performance information, error reports, and crash or failure details.
  • Cookies and local storage. The website uses cookies and similar technologies for sign-in, preferences, attribution, analytics, support, and security. The Android app stores its anonymous authentication token, preferences, and recent activity on your device.

Captioner does not request precise device location, contacts, SMS messages, call logs, or health information.

2. HOW WE USE INFORMATION

We use information to:

  • provide transcription, translation, captioning, summaries, storage, rendering, and export;
  • authenticate users, operate anonymous access, apply credits and usage limits, and prevent abuse;
  • maintain, debug, secure, measure, and improve the Services;
  • show, personalize where permitted, measure, and protect advertising in the Android app;
  • process payments, provide customer support, and send service-related messages; and
  • comply with law, enforce our agreements, and protect our users, Services, and rights.

Captioner does not use your media or generated project output to train our models.

Google Mobile Ads

The Android app uses Google AdMob through the Google Mobile Ads SDK and uses Google's User Messaging Platform (UMP) SDK to request consent or show privacy choices where required.

The Google Mobile Ads SDK automatically collects and shares data including IP address (which can be used to estimate approximate location), app and ad interactions, diagnostic information, and device or account identifiers. Google uses this information for advertising, analytics, and fraud prevention. Depending on your region, consent, device settings, and Google's controls, ads may be personalized or non-personalized.

Google and its advertising partners may use cookies, web beacons, IP addresses, advertising IDs, and other identifiers when serving and measuring ads. Learn more in How Google uses information from sites or apps that use its services and Google's Privacy Policy.

Where the UMP privacy-options form is required, it is available from Settings → Privacy choices in the Android app. You can also reset or delete your Android advertising ID using your device's privacy settings.

Product analytics and diagnostics

We use PostHog's EU-hosted service to understand feature use and product performance. Captioner's Android configuration disables automatic screen capture, session replay, automatic error capture, and person profiles; the app sends named product events and basic app/build properties. Our website and servers may send additional usage, attribution, account, and transaction events.

We also use Sentry for error and performance diagnostics and Google Tag Manager to deliver configured website tags. These services may receive identifiers, device or browser information, usage events, URLs, IP addresses, and diagnostic data as needed for their functions.

4. WHEN WE SHARE INFORMATION

We disclose information only as needed to operate the Services, comply with law, protect rights and safety, or complete a business transaction. Our main service providers are:

We may also disclose information:

  • when required by law or a valid legal process;
  • to investigate fraud, abuse, security incidents, or violations of our agreements;
  • to protect the rights, property, or safety of Botisan AI, our users, or others; or
  • in connection with a merger, financing, acquisition, reorganization, or sale of assets, subject to appropriate confidentiality protections.

We do not sell personal information for money. Some privacy laws may define personalized advertising as a "sale" or "sharing" even when no money changes hands. Use the available privacy choices described above to manage advertising consent where applicable.

5. RETENTION

We keep information only as long as reasonably necessary for the purposes described in this Policy, including providing the Services, maintaining security, resolving disputes, and meeting legal, tax, and accounting obligations.

  • Project media, transcripts, translations, subtitles, summaries, and related artifacts may be retained while the project remains available to you. Removing a project makes its stored project record unavailable; associated storage artifacts and backups may remain until routine deletion or expiry.
  • Temporary transcription resources held by a processing provider are scheduled for cleanup after processing. Provider-specific retention may also apply under the provider's terms linked above.
  • Anonymous Editor drafts expire after 24 hours unless claimed into a Project.
  • Account, transaction, security, support, and diagnostic records may be retained as needed for the applicable purpose and legal obligations.

When information is no longer required, we delete or anonymize it, or isolate it from further use until deletion is possible.

6. INTERNATIONAL DATA TRANSFERS

Botisan AI is established in Singapore, and Captioner's primary database is hosted in the European Economic Area. Our providers operate in multiple countries, so information may be processed outside your country of residence. Where required, we rely on appropriate contractual or other legal safeguards for international transfers.

7. SECURITY

We use reasonable technical and organizational safeguards designed to protect information, including encryption in transit. No transmission or storage system is completely secure, and we cannot guarantee absolute security.

8. YOUR CHOICES AND RIGHTS

Depending on where you live, you may have rights to access, correct, delete, restrict, or receive a copy of personal information, object to certain processing, withdraw consent, or appeal our response. You may also have the right to complain to your local data-protection authority.

Send requests to support@captioner.io. We may need information to verify your identity and locate the relevant records. The Android app does not collect your personal email address, so an email address alone may not identify data associated with its device-scoped anonymous identity.

You can manage ad privacy choices in the Android app where that option is displayed and can manage advertising identifiers in Android settings. Browser settings can block or delete cookies, although some website features may then stop working.

9. CHILDREN

The Services are not directed to children under 18, and we do not knowingly collect personal information directly from children under 18. If you believe a child has provided personal information, contact us so we can investigate and take appropriate action.

Where laws such as the GDPR or UK GDPR apply, our legal bases may include performing a contract or taking steps you request before a contract, consent, compliance with legal obligations, and our legitimate interests in operating, securing, supporting, and improving the Services. You may withdraw consent at any time without affecting processing already performed lawfully.

11. CHANGES TO THIS POLICY

We may update this Policy as the Services, providers, or legal requirements change. We will update the date at the top and provide additional notice where required by law.
